  • 01Cloud IP PBX from around €20 per extension per month.
  • 02Up to ~50 extensions the cloud pays; above that, on-premises pays back from year 3–4.
  • 03Your current numbers stay: number portability is guaranteed by law.
  • 04Without QoS on the network, any new PBX inherits the old one's drop-outs.

Paying for a new phone system and still having dropped calls is the worst communications investment a company can make. The price of an IP phone system starts at around €20 per extension per month in the cloud, or an initial investment of a few thousand euros for your own PBX. What makes the figure vary is the number of extensions, the features and who runs it — and, almost always forgotten, the quality of the network that will carry the voice.

Cloud or your own equipment: which is cheaper?

In the cloud, you pay a monthly fee per extension. You do not buy a server or manage licences; updates and maintenance are included, and capacity follows the team. The bill combines the monthly fee, call traffic, IP handsets (bought once) and installation. It is the natural choice up to around fifty extensions, for multi-site companies or those with many remote staff.

In the company's own rack, you buy equipment and licences, install them locally and then pay only call traffic and an annual maintenance contract. After three or four years it usually comes in below the cloud — and it is unavoidable where there are isolation requirements, integration with internal systems or an old PBX to reuse.

The detailed analysis is in cloud vs on-premises PBX: decision criteria.

What pushes the proposal up?

  • Number of extensions Sets the cloud monthly fee and on-premises licensing.
  • Handsets A basic phone and a reception console with a screen and BLF keys are priced very differently.
  • Simultaneous channels Too many wastes money; too few gives callers an engaged tone.
  • Recording Licences, disk space and GDPR obligations.
  • IVR and queues Voice menus, schedules and overflows increase licensing.
  • CRM integration Caller identification, automatic logging, click-to-call.
  • Number porting A one-off charge that keeps the number printed on your business cards.
  • Network infrastructure Without QoS, voice fails; an honest quotation may have to include the network.

Why does the network determine call quality?

Because VoIP is real-time traffic. Without priority configured on the switches and firewall, without a stable connection and, ideally, without redundancy, the new PBX inherits the old one's drop-outs. On a well-sized managed network, adjusting the configuration is enough; on an ageing, unmanaged network, it has to be fixed first. DataRoad always assesses the network before proposing telephony.

What is usually missing from competitors' quotations?

  1. Number porting — without it, you lose the number your customers know.
  2. Numbering plan and call routing — schedules, public holidays, groups, divert to mobile. This is where it is decided whether the PBX helps or irritates.
  3. Network preparation — without QoS, nothing improves.
  4. Post-installation support — who fixes it when an extension goes silent at 9 a.m. on a Monday.

How does DataRoad arrive at a fixed price?

With three answers: number of extensions, simultaneous calls and the features genuinely needed. If the network raises doubts, we audit it first — we would rather recommend fixing the network than install a system doomed to fail. The PBX is then managed under the IT Unlimited contract, by the same team that runs the network.

Frequently asked questions

How much does a phone system for 10 people cost?

In the cloud, ten extensions at the monthly fee (from ~€20 each) plus handsets and installation; on premises, an investment that typically pays back in three years. We compare both over five years, the right horizon for deciding.

Will I lose my current numbers?

No. The law guarantees portability and DataRoad handles the process; demand it in writing in any proposal.

Does VoIP mean rebuilding the network?

Not always, but it does mean checking it: voice needs traffic priority and a stable connection.

Without internet, will I stop receiving calls?

No, if the PBX is properly configured: calls divert automatically to predefined mobiles. This is tested on go-live day.

Is call recording worthwhile?

Yes, for sales and customer service teams. Before enabling it, the GDPR rules are set: notice to callers, retention period and who may listen.

Does DataRoad sell just the PBX?

No. We do not supply standalone equipment or carry out ad hoc call-outs: the PBX is installed and managed within an IT Unlimited contract, with full responsibility for the environment.
