A managed IP PBX phone system from DataRoad - IT Services and Consulting, a premium IT partner in Portugal, has three direct effects on the business: fewer missed calls, a lower communications bill and one fewer supplier to manage. Every employee answers with the company number in the office, at home or on their mobile, and day-to-day changes are handled by us. The service is for companies with 10 or more workstations, including international companies with offices in Portugal, that want professional telephony on the network we already manage, with one partner for voice, network and IT.
Why voice should sit with whoever manages the network
A missed call rarely shows up in a report, but it is almost always a customer who went to call someone else. An IP phone system solves this with call queues, ring groups and auto attendant, and it runs over the internet, with no dedicated infrastructure or building work.
When the same team manages the network, the firewall and voice, there is no blame game between the IT supplier and the carrier. DataRoad installs, configures and remains the single point of contact, for voice too.
- Real mobility The same extension on the desk phone, laptop and mobile.
- Numbers from any city Landline numbers from other locations, even without an office there.
- Growth without limits New extensions whenever you need them, with no new equipment.
- Savings from the first month Calls over the data network instead of leased lines.
Which architecture to choose: cloud, on-premises or hybrid
| Model | When it makes sense | What you gain |
|---|
| Cloud | Offices with up to a few dozen workstations | No server to maintain and no upfront investment |
| On-premises | Many extensions, local integrations or data retention requirements | An IP PBX server in the company's rack, under your control |
| Hybrid | Companies that cannot afford to stop receiving calls | A local system with cloud redundancy: if the connection drops, calls keep coming in |
The choice depends on who is responsible for what and how the current numbers are kept. The differences are set out in detail in the guide cloud or on-premises phone system: what changes with each model.
What the managed phone system includes
- Auto attendant (IVR) Voice menus, routing by department, time and availability, and out-of-hours messages.
- Queues and ring groups Simultaneous, sequential or rotating ringing, with hold music and estimated wait time.
- Softphone and mobile app Windows, macOS, iOS and Android; callers cannot tell whether the employee is out of the office.
- Call recording With retention and consent rules defined with the company.
- Reports Answered and missed calls, waiting times and performance by queue.
- Number porting Current numbers move to the new SIP carrier with no period without phones.
Which phones we install
We configure Yealink, Grandstream and Cisco IP phones in entry, mid and high-end ranges, chosen for each position: reception, sales or meeting room. Anyone who does not want a physical phone works with the softphone alone.
In warehouses, clinics, hotels and restaurants we install DECT IP, with coverage throughout the building and handsets that work as full extensions. Because voice runs on the network, we design the structured cabling and PoE switching with the phones in mind from the start.
What it costs and where the savings come from
The price depends on four factors: number of extensions, model (cloud, on-premises or hybrid), voice channels and numbers contracted, and handsets. In the cloud you pay a monthly fee per extension; with an on-premises system you invest in the server and pay only for maintenance.
Savings come from three sources: you stop renting analogue lines, internal calls between offices no longer cost anything and maintenance of the old phone system disappears. The five components of the cost, the five-year comparison between owning a system and the cloud, and what is usually hidden in proposals are in the article how much a business phone system costs.

Questions about IP phone systems
Do we keep our current numbers?
Yes. Numbers are ported to the new carrier and the switch takes place on a scheduled date, with no period without phones.
What happens if the internet fails?
Calls keep arriving. In the cloud, they are automatically forwarded to mobiles; with an on-premises system with redundancy, they come in through the alternative channel. That is why we handle network and telephony together.
Can the old analogue phones stay?
They can, connected through adapters, but they lose the phone system's features. For positions that use the phone every day, replacing them pays off.
How many extensions can the solution handle?
From half a dozen to several hundred. Size changes the dimensioning of the voice channels and the architecture, not the features.
Who does the installation: DataRoad or the carrier?
DataRoad. We install, configure and are the single point of contact, so the company is not caught between the IT supplier and the carrier.
What else comes under the same management
The phone system is provided exclusively under an IT Unlimited contract. DataRoad does not carry out one-off interventions or sell standalone equipment: it takes full responsibility for the client's environment.
