A slow computer is a hidden staff cost. Using the average salary published by INE (Statistics Portugal), 15 minutes lost per day equals around €790 per person per year; in a team of 30, around €23,600. IT estate management — monitoring, controlled updates and planned replacement — stops that waste before it reaches the user, and improves the day-to-day experience of everyone who works in the company.

Why nobody notices this problem

A slow computer does not halt operations, does not set off an alarm and rarely generates a support request. It simply steals minutes from everyone, every day.

That time is paid as work but produces nothing. It does not appear on any invoice, so it almost never reaches the board meeting. Very often, the value lost in a year would pay for renewing the estate.

How we arrived at €790

  1. Salary — according to INE, the average total gross monthly pay in Portugal was €1,694 in 2025, or around €20,330 over 12 months.
  2. Employer costs — with the employer’s social security contribution (TSU, 23.75% in most cases), the annual cost reaches around €25,160.
  3. Hours — 220 working days × 8 hours = 1,760 hours of actual work.
  4. Cost per hour — around €14.30.
  5. Result — 15 minutes a day = €3.57 a day; over 220 days, around €786 per person per year.

30€1,572€15,720€47,160€78,600

Sounds like a lot? Add up the slow start-up, Outlook freezing on an attachment, the Teams call that hangs, the shared folder that won’t open and the mid-afternoon restart. The 15 minutes add up quickly.

Seven signs of an ageing IT estate

  • Slow start-up Several minutes before the person can start working.
  • Disks Mechanical drives instead of SSDs, or nearly full.
  • Too little memory A browser with dozens of tabs, Teams, Outlook and invoicing all open at once.
  • No Windows 11 Support for Windows 10 ended on 14 October 2025. Extended Security Updates (ESU) can be paid for per device for up to three years, but the price doubles every year. Options are explained in what to do about the end of Windows 10.
  • Worn-out batteries Laptops that cannot last through a meeting away from the desk.
  • Overdue updates Months without patches, or security warnings ignored.
  • Inconsistent configurations Each workstation set up its own way, each fault a one-off case.

To carry out a methodical survey, follow the IT estate audit checklist.

Equipment that works also helps retain people

A new employee’s first day says a lot. A slow laptop, with no applications and no access, sends an unintended message: their work is not a priority.

Day to day, the frustration of waiting for the computer adds to everything else. Tools are part of the working experience, just like the office or the chair. In a market where good people have alternatives, reliable equipment and fast support count.

There is also a security effect. When support is slow, people stop asking for help and improvise: USB sticks, personal cloud accounts, emails forwarded to their phones. Productivity seems sorted, but the risk has gone up.

From reactive fixes to proactive estate management

The leap is to stop fixing things when someone complains and start fixing them before anyone notices. This is what an MSP does in IT estate management:

  • Monitoring An agent on every computer alerts the technical team to nearly full disks, recurring errors or missing updates. See how monitoring and the NOC work.
  • Managed updates Installed outside working hours, in a controlled way, without interrupting anyone.
  • Standard image The same base, the same applications and the same policies on every workstation; a new computer is ready in hours.
  • Replacement plan Knowing in advance what to replace this year and next, instead of buying in a hurry.
  • Support with immediate response Remote, on-site and by telephone. This is the model of our user support in the IT Unlimited Premium plan, with unlimited on-site support.

Slowness is the silent version of a bigger problem. The noisy version is a total outage, and it has a price too: what an hour of downtime costs a 20-workstation company.

In practice: Reltio by SAP and a mixed Apple and Dell estate

Reltio by SAP, a US data software company with an office in Lisbon, is a DataRoad client under an IT Unlimited contract. The estate brings together 40 MacBook Pros and 35 Dell devices, 125 structured network points and Cisco Meraki — firewall, switches and access points.

In a mixed estate, a lack of method costs double: two platforms, two configurations, two update lists. With ongoing maintenance and management of the office network, everything is tracked and monitored proactively. As an Apple Technical Partner, DataRoad manages Mac and Windows side by side — discover our Apple services for business and the full Reltio by SAP case study.

Frequently asked questions

How much time is lost to a slow computer?

It varies with the equipment and how it is used, so it is best to measure: ask the team how long they wait at start-up and throughout the day. In our example, 15 minutes a day costs around €790 per person per year.

Repair or replace?

On a recent device, an SSD and more memory often solve the problem. If it does not support Windows 11 or has had several years of heavy use, replacing it usually costs less than the time being lost.

Does preventive maintenance end the slowness?

It solves most of it — updates kept current, disks with space to spare, unnecessary programs removed and alerts before failure. The rest is solved with a replacement plan.

Does DataRoad support Mac?

Yes. It is an Apple Technical Partner and manages Apple and mixed estates under IT Unlimited contracts.
