Apple fleet management: company Macs under control, encrypted and supported

MDM, FileVault with the key held by the company, update deadlines and one-step offboarding: what a Mac fleet needs to be manageable and secure.

A well-managed fleet of Macs gives a company three guarantees: data stays protected if a laptop goes missing, people join and leave without improvisation, and the cost of support stops rising with every new device. The Mac is secure out of the box, but it does not manage itself. With a management console (MDM), 10 or 200 Macs start behaving as a single fleet, under the company's control.

What risks does a company run with unmanaged Macs?

Treating company Macs as personal devices works with five people. With more, any one of these three situations is enough for the model to break down:

  • Theft or loss The laptop disappears from a car or is left at an airport, with proposals and client data on the disk.
  • An employee leaves Taking with them the only administrator access to the device and the code needed to recover it.
  • Ignored patches Apple fixes a serious vulnerability and half the team postpones installing it for weeks.

Without central management, each Mac is an island, with its own passwords, overdue updates and files outside any backup. The problem is never the hardware; it is the absence of a management model.

What is an MDM and what does it let you control?

For decision-makers: MDM (mobile device management) is the console where the company sets, in one place, how every Mac, iPhone and iPad behaves: disk always encrypted, deadline for patches, software installed automatically, connection to the internal Wi-Fi. The rules arrive over the internet, whether the device is in the office, at home or in another country.

  • Zero-touch deployment The employee opens the box, switches on the Mac and the device sets itself up without a technician.
  • Enforced encryption The disk is encrypted and the recovery key stays with the company.
  • Remote action A lost Mac can be locked or wiped from the console.
  • Live inventory Know at any moment which Macs exist, who uses them and which system version they run.

Apple Business: the foundation, now with no licence cost

Apple announced it in March 2026 and opened it on 14 April of the same year, in more than 200 countries and regions. Apple Business combines in a single service what used to be three — Business Manager, Business Essentials and Business Connect — and has no usage cost. It includes built-in device management, ready-made profiles for newly purchased Macs, company-controlled Apple Accounts and software distribution.

Two details matter for the decision. Zero-touch deployment only works with equipment bought from Apple or authorised resellers — choosing the right channel saves hours later. And companies already using Microsoft 365 can generate their team's Apple Accounts automatically from Entra ID, the directory where the users already exist.

Above a certain size, or with specific requirements, a specialised management platform is added.

What security minimums should you require?

MinimumHow it should beWhat happens if it is missing
FileVaultSwitched on for every Mac, with the recovery key escrowed in the consoleStolen laptop with exposed files; locked Mac with no way to recover it
UpdatesMaximum deadline set by the company for security patchesFlaws already fixed by Apple stay open for weeks
BackupsWork stored in the company's cloud services, with an independent, tested copyHardware failure, theft or ransomware take work with no other copy
AccountsUsers without administrator privileges, MFA in the cloud, password rulesSoftware installed without approval, accounts stolen by phishing, permissions nobody reviews

FileVault: the key must stay with the company

With FileVault, the whole disk is encrypted with AES-XTS: anyone without the password or recovery key can read nothing. Through MDM, activation becomes mandatory from initial setup and the key is stored, encrypted, in the console. If the key stays only with the employee, the company loses the data the day that person forgets the password — or leaves on bad terms.

The Mac is not the company archive

Work should live in company services, such as OneDrive or SharePoint, with a copy independent of those services. An external drive helps, but does not replace a managed and tested backup service.

MFA on every cloud account

A flawless Mac does not stop the email account being taken over through phishing. The second factor closes that door; we explain how to roll it out without friction in multi-factor authentication in companies.

How are joiners and leavers handled?

This is where management pays for itself: the process no longer depends on someone's memory.

When someone joins

  1. The Microsoft 365 account is created; through synchronisation, the managed Apple Account is created.
  2. The Mac is assigned in the console; when switched on, it receives settings, applications and Wi-Fi.
  3. On day one, FileVault is confirmed active, the key stored and MFA configured.

When someone leaves

  1. The Microsoft 365 account is blocked and open sessions are ended.
  2. The Mac is collected, after confirming the work is in the company's services.
  3. The device is wiped from the console and reassigned — or sent for disposal with secure data erasure.

Can Mac and Windows coexist without friction?

Yes, and it is the most common scenario among the fleets we manage: Macs in management and creative teams, Windows PCs in operations and Microsoft 365 connecting everything. Three rules make it simple:

  • One account, two systems Each person signs in to email, files and Teams with the same Microsoft 365 credentials, on Mac or PC.
  • The same rules for everyone No device is exempt from encryption, patches, MFA or backup.
  • A single support partner When the printer or network fails, nobody wastes time arguing whether the Mac or the PC is to blame.

How does it work in a real mixed fleet?

At the Lisbon office of Reltio by SAP, an international data software company, DataRoad provides ongoing maintenance, technical consulting and network management under IT Unlimited. There, 40 MacBook Pros and 35 Dell devices coexist on 125 structured cabling points and a Cisco Meraki infrastructure with a firewall, 3 switches and several wireless access points. A single point of contact is responsible for everything — discover the Reltio by SAP project.

DataRoad is an Apple Technical Partner and supports Apple fleets from north to south of Portugal, remotely, by telephone or on site. IT Unlimited Premium, from €750/month + VAT, includes unlimited on-site support, for when a Mac really needs a technician alongside it.

Frequently asked questions

Does Apple Business cost anything?

No, Apple charges no licence for the service. Only optional extras are paid for — more iCloud storage or AppleCare+ for Business. The real investment is the work of configuring the management and keeping it running.

Can the Macs the company already has be managed?

Yes, all of them. Those bought through the authorised channel set themselves up automatically; those already in use are enrolled in the console after a brief visit to each one, scheduled so as not to interrupt work.

With MDM, can the company see employees' personal files?

No. MDM is for enforcing policies, not reading documents, and according to Apple, managed Apple Accounts cryptographically separate work data from personal data on the same device.

Does it make sense to have Macs in a company using Microsoft 365?

Yes. Microsoft 365 works on Mac with the same accounts. The key is to apply the same security policy and have a single support partner for the whole fleet.
