It is time to change IT partner when it is your company, and not the provider, that discovers the problems. Many companies postpone the decision for fear of the transition or because “it has always been this way”. But there are objective signs that a provider is no longer keeping up with the business — and recognising them early stops support failures from becoming revenue failures.
The seven signs, from the most visible to the most dangerous
1. Invoices that change every month
Amounts that fluctuate without explanation make budgeting difficult and reveal a model of one-off interventions instead of managed services with a defined scope.
2. Ever slower responses
What used to be solved immediately now takes hours or days, without justification. It is usually a sign of a client base growing without a team to match.
3. A non-existent or ignored SLA
A serious partner sets response times by criticality in writing and measures them. If that commitment does not exist, or exists only on paper, business continuity has no guarantees.
4. Problems discovered by users
A full disk, a backup stopped for weeks, a missing security update — detected only when they are already affecting someone. That is reactive work, without continuous monitoring. A good MSP detects them before you do.
5. Everything in one person's hands
Small IT firms and independent technicians often depend on a single technician. That person's holidays, illness or silence leave the company without support.
6. No visibility over the work done
If the only thing that arrives is the invoice, with no reports on incidents, interventions and risks, it is impossible to know whether the service actually protects the company.
7. Cybersecurity that is never discussed
Has nobody ever mentioned multi-factor authentication, tested backups or a dedicated firewall? Then the infrastructure is probably more exposed than it should be.
Quick self-assessment
- Response times Are they getting worse without explanation or compensation?
- SLA Does it exist in writing and is it measured?
- Monitoring Does the provider raise the alarm, or is it always the company?
- Team Does more than one person know your infrastructure?
- Transparency Do you know what is installed and what was done last month?
Two or more signs justify comparing alternatives. Even if you stay with your current provider, the exercise clarifies what is — and what is not — being well served.

What a safe transition should look like
The most common fear is losing configurations, credentials or history. A well-run handover always includes:
- Complete survey — of the infrastructure, contracts and licensing in place.
- Phased migration — of critical services: email, backups, VPN and domain.
- Reinforced support — in the first weeks, so there are no service interruptions.
Compare with DataRoad's service levels (SLA), with response times in writing and measured compliance.
